HVAC Estimate Example

This example estimate covers replacing an old split system with a 3-ton heat pump. It lists the equipment the way homeowners need to compare bids, keeps labor and materials separate, and notes the rebate without discounting the equipment price.

What does each part of this estimate do?

1. Equipment with real specifications

"3-ton 16 SEER2 heat pump" tells the homeowner what they're buying and lets them compare your bid with others. Vague lines like "new AC system" are the most common reason HVAC estimates lose on trust, not price.

2. Install labor as its own line

Labor is shown as hours times a rate. If the homeowner asks why one bid is higher, you can point to the install time rather than defending a single lump sum.

3. Materials that customers forget

Line set, pad, disconnect and condensate work are listed separately. They are real costs on every replacement and are easy to leave out when you're estimating in a hurry.

4. Removal and permit

Disposal of the old equipment and the mechanical permit are explicit lines so nobody is surprised when the inspector shows up.

5. Warranty and rebate notes

The notes separate the manufacturer's parts warranty from your labor warranty and mention the utility rebate the homeowner may claim. Rebates change often, so they are noted rather than deducted.

6. Deposit and approval

A 25% deposit secures the equipment order. The customer approves by signing — or, with Pro, by approving the link you text them.
